Clerical Receptionist

The Clerical Receptionist is responsible for providing secretarial, clerical, and administrative support in order to ensure that services are provided in an effective and efficient manner for both external clients as well as internal staff.

  • Receive, direct, and relay telephone messages and fax messages
  • Schedule all appointments and make the necessary preparations for those appointments
  • Greet persons entering the Company, determine the nature and purpose of visit, and direct or escort them to specific destinations
  • Keep a current record of staff members’ whereabouts and availability
  • Post outgoing mail
  • Open, date stamp, and deliver mail
  • Receive payment and record receipts for services
  • Hand out items for pick up
  • Analyze data to determine answers to questions from clients or members of the public
  • Assist in the maintenance of the general filing system and the filing of paperwork alongside electronic filing and client software management
  • Assist in the planning and preparation of meetings, conferences and conference telephone calls



The Clerical Receptionist must have proficient knowledge in the following areas:

  • office administration
  • office equipment
  • reading comprehension—understanding written sentences and paragraphs in work related documents
  • effectively communicate, in writing, as appropriate for the needs of the audience
